Position Summary: The Pasadena Museum of History’s Visitor Services Coordinator’s primary responsibilities are to coordinate PMH volunteer program, assist Museum visitors, and oversee the Museum’s office management. The Visitor Services Coordinator will be charged with the administration and coordination of a dynamic corps of volunteers who support all areas of the museum.
As the Visitor Services Coordinator may be the first contact future members, potential
volunteers, and the Museum-going public have with the Museum, excellent communication
skills are required. The Coordinator must provide courteous, knowledgeable, and effective
service to co-workers, volunteers, and the general public.
Additional duties may be assigned. This is a full time, salaried position with a work schedule of 40 hours a week. Occasional evening and weekend hours for meetings and events are required. Salary commensurate with experience.
Train and manage reception staff and volunteers. Ensure that engagement with the public is professional and courteous
Maintain reservation lists for programs. Provide operational support for programs;
organize check-in and registration material
Create and coordinate a meaningful learning and service opportunity for volunteers and
interns. Activities include but are not limited to: plan and organize events and activities
for volunteers; conduct annual recognition celebrations to reward volunteers for hours
and years of service; and schedule enrichment and in-service training opportunities
The Visitor Services Coordinator is the staff liaison to the Volunteer Executive Council
Implement effective communications strategies to maintain good contact with volunteers.
Write, design and distribute monthly e-newsletter
Direct recruitment and orientation to maximize volunteers’ effectiveness, through
Information Sessions and individual meetings. Provide additional training for Exhibit
Hosts and Docents, to optimize their interactions with the public
Supervise and respond to the individual needs of volunteers and interns
Assist with Volunteer Executive Council meetings and monthly volunteer meetings,
ensuring that volunteers are well informed about current activities and opportunities at
Ensure adequate volunteer coverage for the Museum’s needs
Administration and Operations
Maintain the Museum’s inventory of informational materials, office, and stationary
Oversee the Museum’s internal master calendar. Ensure adequate preparations for events and meetings. Coordinate staff meetings
Experience working with volunteers and the general public in a Museum or non-profit
setting is required
This position requires exceptional organization, prioritization skills, and effective verbal
and written communication
The successful candidate will be a confident leader and able to work in a team
The Visitor Services Coordinator must be flexible and willing to undertake multiple tasks simultaneously
The successful candidate will be computer literate and internet savvy. Computer
programs most frequently employed: Microsoft Word and Microsoft Excel. Speed and
accuracy in data entry is essential
The Visitor Services Coordinator must be dependable and able to keep privileged
